How do I get one consistent answer on our policies?
Teach it the returns policy, the terms, the cancellation window once, in the room, and every later answer starts from it for every teammate. Add a rule in plain words, like flag any returns request outside the policy window, and it's checked daily so exceptions surface instead of slipping through by habit.

Is there a record if a question comes up later?
Yes. The audit log records the consequential actions across the company, by whom and when. Anything that goes out the door or commits the business waits in the approvals tray for an owner or admin, and lands on the receipts board with the proof attached once it's done.
Can outside counsel work in here?

Is this legal advice?

Does it sign or send anything?

Who can see the contracts we put in?
Only the people in that restricted room. Your company's data is isolated at the database level and connection keys are stored encrypted. We don't hold SOC 2 or similar certification yet, so for regulated or contractually sensitive material, use a vendor who can hand you the certificate.
